Two tools, one flow
Many boutiques already use Zoho Books for accounts and GST, often because their CA set it up. The problem is that Zoho Books knows what was billed but not what is happening in the workshop. Staff end up typing every invoice again into a production register. The Zoho Books tailoring integration removes that double entry: bill once in Zoho, and the order appears in VogueDesk ready to stitch.
What syncs
| From Zoho Books | Becomes in VogueDesk |
|---|---|
| Invoice with “Create Project” ticked | A confirmed order, not a draft |
| Customer | A matched or new client |
| Line items | One garment per unit, named after the item |
| Due date | The order’s delivery date |
| Amount paid | Payments on the order |
| Invoice | A linked invoice record |
A line for three blouses creates three garments, each of which can move through your stages and be assigned to a karigar. Items like fabric that are not garments can be left out. As a safety check, a single line will not create more than 20 garments, which catches a typo in quantity.
Staying in sync
VogueDesk listens for changes from Zoho Books through webhooks and also checks regularly, so a missed update is picked up later. If an invoice that already became an order changes, for example a new payment or a changed due date, the order is updated.
When something needs a human
Real data is messy. If an invoice number clashes with one already in VogueDesk, or a client is matched by phone but has a different name, VogueDesk does not guess. It saves a sync issue for an admin to look at and resolve, and stops Zoho retrying the same problem over and over.
How it works in VogueDesk
- Connect your Zoho Books organisation from VogueDesk’s integrations, signing in to Zoho to approve access.
- Choose the date from which invoices should sync.
- Add a “Create Project” checkbox field to your Zoho Books invoices.
- Raise invoices in Zoho as usual and tick the box for stitching orders.
- Orders appear in VogueDesk as confirmed, with garments, client and delivery date.
- Assign stages, track production and deliver from VogueDesk.
Why the checkbox matters
Not every Zoho invoice is a stitching job. You might bill for fabric only, a gift card or an old balance. The “Create Project” tick lets your accounts person decide, at the moment of billing, which invoices should reach the workshop. Once an order exists, later changes to that invoice keep flowing into it, whether or not the box is still ticked, so payments and dates stay correct.
Who it is for
- Boutiques whose CA keeps the books in Zoho and who do not want to change that.
- Studios that bill at booking and need production to start straight away.
- Teams where accounts and workshop are separate people.
If your accounts are in Tally or spreadsheets instead, see import from Tally and Excel. If you would rather bill inside VogueDesk, see GST billing for tailors.
Plans
Zoho Books sync is part of the Studio plan (₹999 a month + GST) and above. Custom integrations and API access are on Enterprise, with an account manager and on-site training. Contact us to talk about your setup, or see pricing.
Frequently asked questions
Does every Zoho Books invoice become an order?
No. Only invoices with the "Create Project" checkbox ticked in Zoho Books become new orders. That way fabric-only sales or other bills do not clutter your workshop.
What happens to the client?
VogueDesk looks for an existing client by phone or email. If it finds none, it creates a new client from the Zoho Books customer.
What if the invoice has no due date?
VogueDesk suggests a delivery date from your workshop's current workload, the same way it does for orders created inside VogueDesk.
Do payments recorded in Zoho Books show in VogueDesk?
Yes. When the amount paid on the Zoho invoice goes up, VogueDesk records the new payment so the order shows the right balance.
What happens if something does not match?
Problems such as a duplicate invoice number or a client name that differs from the matched profile are saved as sync issues for an admin to check and resolve.
Can I bring in my older Zoho data?
You can choose a start date so only invoices from that date sync. For older clients and records, use the data import from a Zoho export.
