Overview
Clients want to know three things: is my order booked, when is my trial, and when is it ready? Send short WhatsApp messages at each step. With a handful of orders a day, the free WhatsApp Business app and saved quick replies are enough. When you want updates to go out automatically, you need the WhatsApp Business Platform (the Cloud API), which has rules: messages you start outside the 24-hour window must use templates approved by Meta, and you must have the client’s opt-in.
Which updates should a boutique send?
Keep it to moments that matter. Too many messages get ignored or muted.
- Order booked: confirms items, delivery date, advance paid and balance.
- Trial reminder: the day before the trial.
- Ready for pickup or delivery: the most important one.
- Delivered: a thank you, with care instructions if useful.
- Payment received: confirms the amount and balance.
- Delay notice: only when needed, as early as possible, with a new date.
Optional: a location request if you deliver, and a polite reminder if a ready order has not been collected for a while.

Many boutiques send updates in the language the client uses on WhatsApp. If you serve clients in several languages, keep a version of each template in each language.
Writing tips
- Put the name and order number first, so the client knows it is about her order.
- One message, one purpose.
- Use the boutique’s name, so the client knows who it is from even if your number is not saved.
- Avoid ALL CAPS and lots of emojis.
- Send at sensible hours, not late at night.
WhatsApp Business app vs WhatsApp Business Platform
WhatsApp Business app
- Free app on your phone.
- Business profile, catalogue, labels, quick replies, greeting and away messages.
- You send each message by hand.
- Good for a home boutique or small shop with a few orders a day.
WhatsApp Business Platform (Cloud API)
- Run by Meta for businesses that want to send messages from software.
- Messages can go out automatically when an order status changes.
- Needs a Meta business account and a phone number connected to the platform, usually through a software provider.
- Business-started messages need approved templates, and Meta charges for some message categories. See Meta’s WhatsApp Business Platform documentation and its pricing page for current details.
A phone number is generally used on either the app or the Platform, not both at the same time in the normal way. Check Meta’s current guidance before connecting a number you use every day.
The 24-hour window and template approval
On the Platform, when a client sends you a message, a 24-hour customer service window opens. During that window you can reply with normal messages. Once it closes, you can only start a conversation using a message template that Meta has reviewed and approved.
Templates are grouped into categories such as utility (order and account updates), marketing (offers and promotions) and authentication (one-time codes). Order updates like “your order is ready” are typically utility. A message offering a Diwali discount is marketing, even if it mentions an order. Choosing the wrong category can get a template rejected or recategorised.
Templates can have placeholders, such as the client’s name, order number and date, which are filled in when each message is sent.
Opt-in and opt-out
WhatsApp’s Business Messaging Policy requires that people agree to receive messages from a business before the business contacts them on WhatsApp. For a boutique:
- Ask at booking: “Can we send your order updates on WhatsApp on this number?” Note the answer.
- Say what they will get: order and trial updates, and offers only if they agree to offers too.
- Make it easy to stop: honour requests like “STOP” quickly and do not message that client again for that purpose.
- Do not add numbers from other groups or lists without consent.
Respecting opt-out protects your number’s quality rating. Numbers that get blocked or reported a lot can face limits.
Automating updates with VogueDesk
VogueDesk lets a boutique connect its own number through Meta’s WhatsApp Business Platform (Cloud API). It can send automatic messages when an order is created (with an order tracking link), when it is ready, when it is delivered and when a payment is received, plus a location request. You can edit templates with placeholders, see message history with read status, and clients can reply STOP to opt out. Messages outside the 24-hour window use approved templates, as Meta requires. Meta’s message charges are separate from VogueDesk’s plans; see the pricing page for plans.
Updates work best when the dates behind them are realistic. See how to reduce delivery delays.
Frequently asked questions
What is the difference between the WhatsApp Business app and the API?
The WhatsApp Business app is a free phone app for chatting by hand. The WhatsApp Business Platform (often called the API) lets software send messages automatically from your number, using approved templates, and Meta charges for some message types.
What is the 24-hour window on WhatsApp?
On the WhatsApp Business Platform, when a customer messages you, a 24-hour customer service window opens. Inside it you can reply freely. Outside it, you can only start a conversation with a message template approved by Meta.
Do I need customer permission to send WhatsApp updates?
Yes. WhatsApp's business policy requires that people opt in before a business sends them messages. Ask at booking, note it, and stop messaging anyone who asks you to.
Is the WhatsApp Business Platform free?
Not entirely. Meta charges for certain template messages, and rates depend on the message category and the country. Check Meta's current pricing page before you plan your costs.
Can I use my existing WhatsApp number for the Business Platform?
Often yes, but a number generally can be used on only one of the WhatsApp app or the Business Platform at a time, and moving it has steps. Read Meta's current onboarding guide before you switch.
