Bridal orders, planned back from the wedding date

Bridal boutique software helps you finish every lehenga, blouse and sherwani before a wedding date that cannot move. VogueDesk tracks each bridal order through your stages, records embroidery sent to outside karigars and when it comes back, books every trial, and shows how much capacity you have before you accept another bride.

What makes bridal work hard

A bridal order is not one garment. It is a lehenga, a blouse, a dupatta, maybe a second outfit for the reception and a sherwani for the groom. It needs two or three trials. The zardozi or aari work is often done by an outside karigar who has five other boutiques’ work on his frame. And the delivery date is fixed by the pandit, not by you.

In wedding season, a bridal boutique can have a dozen of these running at once, each at a different stage. One late embroidery panel can push a whole order past the shaadi.

Plan from the wedding date backwards

When you book a bridal order in VogueDesk, it holds every garment for that bride, each with its own description. You set the delivery date, and before you commit, VogueDesk can estimate a realistic date from the work already in your queue.

The capacity calendar counts both your staff and your contractors, so in October you can see whether the week before a big muhurat date is already full. The Gantt chart lays out every order against time, which makes clashes easy to spot.

Embroidery that goes out of the shop

This is where most bridal delays start. VogueDesk treats outside workers as contractors:

  • Each contractor job has an agreed price.
  • You record when the panels go out and when they come back.
  • A job-work delivery challan (job work out, job work in) goes with the material.
  • Contractor dues and payments are tracked, so you know what you owe each unit.
  • Contractors can have their own login to see their jobs.

Read more about the job work tracker.

Trials without confusion

Book each fitting as a trial appointment. After a trial, record alterations as requested, in progress or completed, so the small fixes are done before the final trial. Keep a separate dated measurement set if the bride’s measurements change between fittings. The fields include full skirt length, belt round, low waist, blouse length and dart point. Our lehenga measurement chart explains how to take them.

Keeping the family calm

Brides and their mothers want to know where things stand. Instead of a dozen calls a week:

  • share the order tracking link, which shows how far the order has moved
  • let the bride upload reference photos through the client portal
  • connect your WhatsApp Business number so “order ready” and “payment received” messages go out by themselves

Money on big orders

Bridal orders carry large advances and several part payments. VogueDesk carries the advance onto the GST invoice, shows partial payments, accepts cash, UPI, card, bank transfer or cheque, and can collect online through Razorpay. An account statement per client shows everything paid so far.

The features, in order of importance

Bridal boutiques with a few staff usually need Studio at ₹999/month + GST, which includes 10 logins, unlimited orders and job work tracking. Bridal chains with several branches should look at Business. If you design your own collections as well, see the page for designer studios. Plans are on the pricing page.

Frequently asked questions

How many trials does a bridal lehenga usually need?

Most boutiques plan two or three, for example a first fitting after the base is stitched and a final trial once the embroidery panels are joined. VogueDesk lets you book each one as a trial appointment against the bride.

How do I track embroidery sent to an outside karigar?

Add the embroidery unit as a contractor, create a contractor job with the agreed price, and record when the garment goes out and when it comes back. A job-work delivery challan can go with it, and what you owe the contractor is tracked.

How far before the wedding should a bridal order be booked?

It depends on the embroidery and your workload, which is why VogueDesk estimates a delivery date from the work already in hand. Always set the delivery date well before the wedding to leave room for a final alteration.

Can the bride see her order progress?

Yes. Each order has a public tracking link, and brides who sign in to the client portal can see progress and upload reference photos of the looks they want.

Can I take a large advance and part payments on a bridal order?

Yes. The advance taken on the order carries onto the invoice, part payments are shown on order and invoice lists, and you can collect online through Razorpay.
