Billing the way a boutique actually works
Boutique billing is rarely one bill and one payment. A client books a lehenga in August, pays ₹5,000 advance, pays ₹10,000 more at the trial and settles the rest on delivery day. Meanwhile her sister adds two blouses to the same order. Paper bills and a cash diary make it easy to lose track of who paid what. Boutique billing software should follow the money from booking to the last rupee.
This page covers daily billing and payments. For GSTIN, HSN codes and GSTR returns, see GST billing for tailors.
From order to invoice
Every invoice in VogueDesk can start from an order. The garments, the client and the advance already taken come across, so you do not type them again. Add a discount if you have agreed one, and the invoice is ready to share.
Each invoice has a public link. Send it to the client on WhatsApp and she can open the bill on her phone without logging in.
Every way your clients pay
| Payment method | Typical use |
|---|---|
| Cash | Walk-in clients, small alterations |
| UPI | Most everyday payments |
| Card | Bigger bridal bills |
| Bank transfer | Corporate or bulk orders |
| Cheque | Some regular clients |
| Loyalty points | Rewards redeemed at billing |
| Razorpay link | Clients who want to pay online from home |
When a client pays through a Razorpay payment link, VogueDesk records the payment on the invoice for you.
Part payments and dues, always visible
Record each instalment as it comes in. The order list and invoice list both show how much has been paid, so the counter staff can tell a client her balance at once. The dashboard shows pending payments across all clients, which makes Saturday follow-up calls quick.
For a full picture of one client, open her account statement. It lists her invoices and payments so you can settle any “I think I already paid that” talk politely and with facts.
Credit notes and recurring bills
If a garment is returned or a bill needs reducing after it is raised, issue a credit note against the invoice. For work you bill on a schedule, such as a monthly uniform contract, set up a recurring invoice weekly, monthly, quarterly or yearly.
How it works in VogueDesk
- Take the advance when you book the order and record it.
- When the garments are ready, raise the invoice from the order.
- Share the invoice link or a Razorpay payment link with the client.
- Record each payment as it comes in, by whatever method she uses.
- Check pending payments on the dashboard and follow up.
Cash at the counter
Cash still moves through every boutique. The galla, VogueDesk’s daily cash register, records cash in and out by source: client payments, worker payments, vendor payments, expenses and miscellaneous. At closing time you know what should be in the drawer. See profit and expense reports for how this feeds your monthly numbers.
Who it is for
- Boutiques that take advances on most orders.
- Bridal studios with large bills paid in several parts.
- Any shop with dues spread across notebooks and memory.
Reward regular clients through the loyalty program, whose points can be redeemed as payment. The Free plan costs ₹0 and includes invoices and payments; GST invoices start on Boutique at ₹499/month + GST. Every new account gets a 14-day free trial of Studio with no card needed. See pricing.
Frequently asked questions
How does VogueDesk handle the advance a client pays at booking?
You record the advance on the order. When you raise the invoice, the advance is carried onto it, so the bill shows only the balance left to pay.
Can a client pay in instalments?
Yes. You can record as many part payments as needed against an invoice. The paid amount and balance show on both the order list and the invoice list.
Can clients pay online?
Yes. VogueDesk can create a Razorpay payment link for an invoice. When the client pays, the payment is recorded on the invoice automatically.
Can I give a discount on a bill?
Yes. You can add a discount on the invoice, and issue a credit note later if you need to reduce a bill after it has been raised.
Do I need GST registration to use VogueDesk billing?
No. You can bill clients and track payments whether or not you are GST registered. If you are registered, GST invoices and returns are covered on the GST billing page.
